NERA Retreats | Portugal 2027 | Terms & Conditions

Please read these Terms & Conditions carefully before booking a NERA Retreat. By paying your deposit, you confirm that you have read, understood and agree to these Terms & Conditions.
These Terms & Conditions apply to the NERA Portugal Retreat taking place at Monte Sobradinho, Algarve, Portugal, from 29 June to 2 July 2027.

1. Booking & Payment
Your place is only secured once your booking has been confirmed by NERA and the required deposit has been received.

A 50% deposit per person is required to secure a booking. Once a booking has been confirmed, deposits are non-refundable, subject to your statutory rights.

Shared-Room Bookings
For guests booking shared accommodation, both individuals must pay their respective 50% deposits before the shared-room booking can be confirmed.

Both guests must be named at the time of booking, and each guest may pay their deposit separately. However, the booking will remain provisional until both deposits have been received and NERA has issued confirmation.

Both deposits must be received within the payment timeframe communicated by NERA. We cannot guarantee that a shared room will remain available indefinitely while awaiting payment from the second guest.

If one guest fails to pay their deposit within the specified timeframe, or withdraws before both deposits have been received, the shared-room booking will not be confirmed. In this situation, any deposit already paid by the other guest will be refunded in full.

Once both deposits have been received and NERA has confirmed the shared-room booking, the standard deposit and cancellation conditions will apply to both guests, subject to their statutory rights.

Final Balance
The remaining 50% balance is due three months before the retreat start date, meaning the final balance for this retreat must be received by 29 March 2027.

If the remaining balance is not received by the payment deadline, we reserve the right to cancel the affected booking and offer the place to another guest, subject to applicable law. Any retention of payments will be subject to your statutory rights.

For shared-room bookings, each guest is responsible for paying their own outstanding balance. If one guest fails to make their final payment, NERA will contact the guests to discuss the available options, subject to room availability and the applicable cancellation conditions.

Bookings made after the final balance due date will require payment of the full retreat price at the time of booking. For shared accommodation, payment from both named guests must be received before the booking can be confirmed.

2. Retreat Pricing

The retreat price is:
Shared Room | £1,350 per person
Private Room | £1,900 per person

Shared-room bookings must be made with a named guest with whom you have agreed to share. NERA will not pair individual guests with another attendee.

Both guests sharing a room must complete their required payments before their shared-room booking can be confirmed.

All rooms and room types are subject to availability.

3. What's Included

Your retreat price includes the accommodation and experiences specified on the relevant NERA Retreat webpage.

For the Portugal Retreat, this includes:
Accommodation in your confirmed room type; all breakfasts, lunches and dinners throughout the retreat; private chef services; snacks and grazing throughout your stay; included drinks; Mat Pilates sessions; Reformer Pilates sessions; massage treatment; sound therapy experience; Portuguese Azulejo tile-painting workshop; additional scheduled wellness and mindfulness activities; full access to the villa's available amenities, wellness spaces, pool and grounds; towels and pool towels; and NERA welcome gifts and retreat touches.

The published retreat itinerary is intended as a guide and the exact schedule may change.

Anything not specifically stated as included should be considered an additional cost.

4. What's Not Included

Unless expressly stated otherwise, the retreat price does not include:
Flights; airport transfers; taxis, Ubers or other transport to and from Monte Sobradinho; travel insurance; passport or travel-document costs; additional food or drinks purchased outside those provided as part of the retreat; personal expenses; or any optional activities or services not specifically stated as included.

Guests are responsible for arranging and paying for their own travel to and from the retreat.

5. Cancellations by You

If you need to cancel your place, please notify NERA in writing as soon as possible.

Once your booking has been confirmed, your 50% deposit is non-refundable, subject to your statutory rights.

For shared-room bookings, where only one guest has paid their deposit and the second guest fails to pay within the specified timeframe, the booking will not be confirmed and the deposit already received will be refunded in full.

Once both guests have paid their deposits and the shared-room booking has been confirmed, the standard cancellation conditions apply.

If you cancel after making additional payments, any refund of amounts paid above the deposit will depend on the timing of your cancellation and any costs or financial commitments already incurred by NERA in connection with your booking, subject to applicable law.

As accommodation, suppliers, catering, activities and other elements of the retreat are booked and committed to in advance, we cannot guarantee that all payments will be recoverable following cancellation.

We strongly recommend arranging comprehensive travel insurance as soon as you book so that you have appropriate cancellation cover should you become unable to attend for an insured reason.

6. Travel Insurance

Comprehensive travel insurance is essential and is a condition of attending a NERA Retreat.
It is your responsibility to arrange suitable insurance from the time you book.

Your policy should provide appropriate cover for:

  • Cancellation or curtailment

  • Medical treatment and emergencies abroad

  • Repatriation

  • Flight cancellation, delay and other travel disruption

  • Personal belongings

  • Participation in Pilates, wellness and other activities included within the retreat

NERA cannot accept responsibility for costs or losses that could reasonably have been covered by appropriate travel insurance.

7. Flights, Transfers & Travel

Guests are responsible for arranging and paying for their own flights, airport transfers and travel to and from the retreat.

Faro Airport is the closest airport to Monte Sobradinho and is approximately 25 minutes from the villa by car.

NERA will provide further travel and arrival guidance to guests ahead of the retreat; however, each guest remains responsible for their individual travel arrangements.

NERA cannot accept responsibility for flight cancellations, delays, missed connections, lost baggage or other travel disruption outside our reasonable control.

Guests are responsible for ensuring that their travel arrangements allow sufficient time to arrive during the specified retreat arrival window and depart following check-out.

8. Passports & Entry Requirements

You are responsible for ensuring that you have a valid passport, appropriate travel documentation and that you meet all applicable entry requirements for Portugal.

It is your responsibility to check relevant passport, visa, health and entry requirements before travelling and again before departure.

NERA cannot accept responsibility if you are unable to attend the retreat because you do not have the necessary documentation or do not meet applicable travel requirements.

9. Accommodation & Shared Rooms

Your room type will be confirmed when booking and is subject to availability.

Guests booking a shared room must provide the name of the guest they will be sharing with. NERA does not pair individual guests together for shared accommodation.
If the person you intended to share with subsequently cancels, please contact NERA as soon as possible. Any alternative arrangement will be subject to availability and may involve an additional cost if a different room type is required.

We reserve the right to make reasonable changes to room allocations or accommodation where circumstances outside our reasonable control make this necessary.

10. Health & Participation

Participation in Pilates classes, wellness sessions, workshops and other retreat activities is voluntary.

You are responsible for ensuring that you are sufficiently fit and well to participate in your chosen activities.

You must inform NERA and the relevant instructor or practitioner of any injury, medical condition, pregnancy or other relevant consideration that may affect your ability to participate safely.

If you are unsure whether an activity is suitable for you, you should seek appropriate medical advice before participating.
You are always welcome to opt out of an activity if you do not feel comfortable participating.

No refund will be provided for an included activity, class, treatment or experience that you choose not to attend or participate in.

11. Dietary Requirements & Allergies

Please tell us about any dietary requirements, intolerances or allergies when booking and notify us if anything changes before the retreat.

NERA and our private chef will make reasonable efforts to accommodate dietary requirements communicated to us in advance.

However, we cannot guarantee a completely allergen-free environment.

Guests with severe or potentially life-threatening allergies should contact NERA before booking so that we can discuss whether their requirements can safely and reasonably be accommodated.

12. Treatments & Third-Party Activities

Certain retreat experiences, such as massage, sound therapy and workshops, may be provided by independent third-party practitioners or suppliers.

Participation is voluntary, and you should make the practitioner aware of any medical condition, injury, pregnancy, allergy or other relevant information before receiving a treatment or participating in an experience.

Where appropriate, third-party providers may have their own participation requirements or terms.

13. Changes to the Retreat

The itinerary and experiences advertised on the NERA website represent what we currently intend to provide.
Occasionally, circumstances may require us to make reasonable changes to instructors, practitioners, class times, meals, activities, suppliers or other elements of the retreat.

Where an advertised activity or supplier becomes unavailable, we will make reasonable efforts to provide a suitable alternative where possible.

Reasonable changes to the programme will not normally constitute grounds for cancellation or refund.
If you choose not to participate in an included class, meal, treatment, workshop or activity, no refund will be provided for that element.

14. Cancellation or Significant Changes by NERA

In the unlikely event that NERA is required to cancel the retreat, we will normally offer you either an appropriate alternative, where available, or a refund of payments you have made directly to NERA, subject to your statutory rights and applicable law.

NERA cannot reimburse independently booked flights, airport transfers, additional accommodation or other personal travel expenses.

For this reason, comprehensive travel insurance should be arranged as soon as your retreat booking is confirmed.
If circumstances outside our reasonable control significantly affect the retreat, we will communicate with guests as soon as reasonably possible and explain the options available.

15. Circumstances Outside Our Control

NERA cannot accept responsibility for circumstances outside our reasonable control, including but not limited to severe weather, natural disasters, fire, epidemics or pandemics, government action or restrictions, industrial action, transport disruption, flight cancellations, supplier failures or other events that we could not reasonably have prevented.
Where such circumstances affect the retreat, we will make reasonable efforts to minimise disruption and provide appropriate alternatives where possible.

Nothing in these Terms & Conditions affects any rights or remedies you may have under applicable law.

16. Behaviour & Personal Responsibility

We want NERA Retreats to provide a safe, welcoming and enjoyable environment for everyone.

Guests are expected to behave respectfully towards other guests, NERA instructors and staff, villa staff, suppliers, practitioners and the property itself.

We reserve the right to take appropriate action where a guest's behaviour is seriously disruptive, abusive, unsafe or adversely affects other guests or staff.

Guests are responsible for their own personal belongings.

Guests may also be responsible for the reasonable cost of repairing or replacing property or equipment they deliberately or negligently damage.

17. Alcohol

Where alcoholic drinks are provided as part of the retreat, guests are responsible for drinking responsibly.

NERA reserves the right to refuse to provide alcohol where we reasonably consider this necessary for a guest's safety or the comfort and safety of others.

Guests are responsible for ensuring that alcohol consumption does not affect their ability to participate safely in Pilates, wellness activities or treatments.

18. Photography & Video
We will be takinng photographs and videos throughout the retreat for use on NERA's website, social media and other marketing materials.

If you would prefer not to be photographed or filmed, please let us know before or during the retreat and we will respect your wishes.

We will also endeavour to remind guests of this at the beginning of the retreat.

19. Personal Belongings

Guests are responsible for their own personal belongings throughout the retreat.

We recommend keeping valuables secure and ensuring that your travel insurance provides appropriate cover for loss, theft or damage to personal possessions.

NERA cannot accept responsibility for loss or damage to personal belongings except where liability cannot legally be excluded.

20. Liability

Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited, including liability for death or personal injury caused by our negligence.

Subject to applicable law, NERA cannot accept responsibility for loss, damage, injury, travel disruption or additional expenses arising from circumstances outside our reasonable control.

Nothing in these Terms & Conditions affects your statutory rights.

21. Complaints

If you experience an issue during the retreat, please tell a member of the NERA team as soon as possible so that we have an opportunity to resolve it during your stay.

If the matter cannot be resolved during the retreat, please contact NERA in writing following your return.
We will aim to respond fairly and within a reasonable timeframe.

22. Privacy & Personal Information

We will collect and use the personal information required to administer your booking and deliver the retreat.
Where necessary, relevant information, for example dietary requirements may need to be shared with third-party suppliers involved in providing your retreat.

Personal information will be handled in accordance with NERA's applicable privacy policy and data-protection obligations.
